At SoulGate, the memories you entrust to us are among the most precious things a person can hold — the voice, the face, and the story of someone you love. This Privacy Policy explains, in plain language, what information we collect when you use SoulGate, how we use and protect it, and the choices and rights you have. We wrote it to be clear and honest, because trust is the foundation of everything we do.

1. Introduction

SoulGate is a memorial platform that helps you preserve, commemorate, and interact with the legacy of someone you love. This Privacy Policy applies to the SoulGate website, applications, and related services (together, the "Service"), which are operated by SoulGate, Inc. ("SoulGate," "we," "us," or "our").

By using the Service, you agree to the practices described in this policy. This policy works alongside our User Agreement and AI Ethical Use Policy, which govern how the Service may be used. If you do not agree with this policy, please do not use the Service.

2. Information We Collect

We collect the information you give us and a limited amount of information about how you use the Service, so that we can create and care for your memorial experience.

Account information

When you create an account, we collect your phone number, which we use to sign you in securely, and a name or display name you choose for yourself. You may also provide additional profile details, but these are optional.

Content you upload

To build a memorial, you share the memories that make it meaningful. This can include photos, videos, voice recordings, written text and stories, documents, and messages about your loved one. You choose what to share, and you can add to or change your content over time.

Information from your use of the Service

Like most online services, we automatically receive certain general technical information when you use SoulGate, such as basic device and log information (for example, the type of device or browser you use and general activity that helps the Service function and stay reliable). This information helps us keep the Service working smoothly and securely.

Payment information

If you subscribe to a paid plan, your payment is handled by a trusted third-party payment processor. Your payment is processed directly by that provider, and we do not store your full card details on our systems. We may receive limited confirmation information, such as that a payment succeeded and which plan it relates to.

3. Sensitive & Memorial Content

SoulGate exists to hold something deeply personal: the likeness, voice, and memory of a person who has passed. We recognize how sensitive this content is, and we treat it with special care and respect throughout your experience with us.

Because memorial content includes the personal likeness and voice of a departed person, it is essential that you have the right and authority to upload and use it. By sharing this content, you confirm that you have the necessary rights and permissions to do so. Your responsibilities in this regard are described more fully in our User Agreement and AI Ethical Use Policy.

4. How We Use Your Information

We use the information we collect to:

• Create, personalize, and provide your memorial experience, so that it feels true to the person you are honoring;
• Operate, maintain, and improve the Service and make it more helpful over time;
• Process your subscription and manage your plan;
• Communicate with you about your account, your memorial, and important updates or support you request;
• Protect the safety and security of the Service and its members, prevent misuse, and comply with our legal obligations.

We process the content you provide in order to create and deliver your memorial experience. We do this to give you the experience you came to SoulGate for, and only as needed to provide it.

5. How We Share Information

Your memories are private by default. We share information only in the limited circumstances described below.

• With people you invite. When you invite family members or friends to a memorial room, they can experience the content you have chosen to share within that room. You control who is invited.
• With trusted service providers. We work with a small number of carefully chosen partners who help us operate and support the Service. They may access information only as needed to perform their work for us, and they are bound by confidentiality obligations to protect it.
• For legal reasons and safety. We may share information when required by law, or when we believe in good faith that doing so is necessary to protect the rights, safety, or property of our members, the public, or SoulGate.
• In a business transfer. If SoulGate is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.

6. Data Retention

We keep your information for as long as your account is active and as needed to provide the Service to you. Because a memorial is meant to endure, we retain the content you share so that your loved one's memory remains available to you and those you invite.

Some parts of the memorial experience are tied to an active plan. If a plan is cancelled, the availability of certain features and content may change. The specifics of what happens to your memorial room when a plan is cancelled are described in our User Agreement. You may also request deletion of your information at any time, as described below.

7. Your Rights & Choices

You have meaningful control over your information. Depending on where you live, you may have the right to:

• Access the personal information we hold about you;
• Correct information that is inaccurate or incomplete;
• Request deletion of your information;
• Receive a copy of the information you have provided to us.

To exercise any of these rights, simply email us at hello@soulgate.com and our care team will help you. We may need to verify your identity before acting on a request, to protect the privacy of the memories in your account.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect your information against loss, misuse, and unauthorized access. While no online service can promise perfect security, we work to keep the trust you have placed in us, and we take that responsibility seriously.

9. Children's Privacy

The Service is intended for adults aged 18 and older. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, please contact us at hello@soulgate.com so we can address it.

10. International Users

SoulGate is based in the United States, and the information we collect may be processed and stored in the United States. If you access the Service from outside the United States, please be aware that your information may be transferred to, and handled in, the United States, where privacy laws may differ from those in your country.

11. Changes to This Policy

We may update this Privacy Policy from time to time as the Service evolves or as laws change. When we do, we will revise the "Last updated" date at the top of this page. If the changes are significant, we will take reasonable steps to let you know. We encourage you to review this policy periodically.
